Employee asset tracking software

Know What Equipment Every Employee Has.

One up-to-date record of every laptop, phone and monitor and the employee who holds it, from their first day to their last, so nothing goes missing when people join, move or leave.

A person’s page in Trackora: three assets held now, with tags, categories and a due-back date

Every employee’s equipment on one page

Each person has a page with what they hold right now, what is overdue and whether they are joining or leaving. Assign a laptop, phone or monitor to a person (or to a location, such as a meeting room), set a due-back date if it is a loan, and record its condition when it comes back.

Trackora in two minutes

A two-minute demo of Trackora with a fictional company: seeing everything an employee holds, assigning equipment to a person, preparing and handing over a new starter’s kit, recovering equipment from a leaver, and an asset’s history. English captions are available in the player.

Why equipment goes missing

  • A spreadsheet is only as current as the last person who remembered to update it.
  • New starters wait for equipment because nobody knows what is free.
  • Leavers walk out with laptops because nobody has a list of what they hold.
  • When an audit asks who had an asset last spring, there is no answer.

Give a new starter their kit in one step

Prepare the equipment for someone who is joining: add the laptop, monitor and keyboard to a kit. Nothing is assigned while you prepare it, and Trackora checks that every item is still available before you hand the kit over, all in one step.

See what a leaver still has to return

When someone leaves, start offboarding from their page. Trackora lists every asset they still hold as a recovery checklist, and each one is ticked off as it is returned in the usual way. Once everything is back, you mark them inactive.

Every handover on record

Each asset keeps its full history: who had it, when it went out, when it came back and in what condition. Every change also goes into an activity log that nobody in the workspace can edit.

How it works

  1. 1

    Import your equipment

Upload your existing list as a CSV file, or add assets one at a time.

  2. 2

    Add your people

Name, job title and department. Employees do not need an account; only your team signs in.

  3. 3

    Check equipment out

Assign each item to a person or a location, with an optional due-back date.

  4. 4

    Onboard and offboard

Hand over kits to new starters and recover everything from leavers.

Your data stays yours: owners and administrators can export all of it at any time, subscribed or not.

What Trackora does not do

  • Employees do not sign in or check equipment out themselves; your administrators record every handover.
  • No electronic signatures: a handover is recorded by your team, not signed by the employee.
  • No booking or reserving equipment in advance.
  • Not an HR or payroll system, and it does not monitor devices or track where they are.

Pricing

One subscription per workspace, from $39 a month, for your whole team, billed monthly or once a year. See pricing for the plans.

Questions

Can I see which laptop each employee has?
Yes. Every person has a page listing what they hold now, and every asset shows who holds it.
What happens when someone leaves?
Start offboarding from their page. You get a checklist of everything they still hold; each item is returned in the usual way, and once everything is back you mark the person inactive.
Do employees need a Trackora account?
No. People are records in your workspace. Only the team members you invite sign in, as owners, administrators or members.
Can I bring in the spreadsheet we use today?
Yes. Import your assets from a CSV file; Trackora checks the file and shows any problems before anything is imported.
